Terms
& conditions.
Last updated 10 October 2026. The terms that apply when you buy fire protection services from us, and when you use this website.
These Terms set out the agreement between you (the "Customer") and Coastal Fire Systems Ltd ("we", "us", "our") for the supply of goods and services, and for your use of this website. By placing an order or using this website you accept these Terms.

2. Definitions
- "Contract" — the contract for Services formed between you and us under clause 3.
- "Services" — fire alarm design, installation, commissioning, servicing, maintenance, fault callouts, fire risk assessments, system upgrades and related work.
- "Goods" — control panels, detectors, sounders, cabling and any other equipment supplied as part of the Services.
- "Site" — the premises where the Services are carried out.
- "Quote" — our written price for the Services, valid for 30 days from the date it's issued unless it says otherwise.
3. Quotes and when the contract starts
Our Quotes are based on the information you give us and, where carried out, a visual site survey. The Contract is formed when you accept our Quote in writing (email is fine) or when we start work at your request, whichever happens first. If conditions on Site turn out to be materially different from what we were told or could reasonably see, we'll explain and may revise the Quote before carrying on.
4. The Services we provide
We will carry out the Services with reasonable skill and care, in line with the relevant British Standards (including BS 5839-1 for fire detection and alarm systems in non-domestic premises, BS 5839-6 for homes, and BS 9999 / BS 9991 where applicable), the Regulatory Reform (Fire Safety) Order 2005 and applicable Building Regulations. We will only certify work that meets those standards.
Where you are the "Responsible Person" under the Regulatory Reform (Fire Safety) Order 2005, the legal duty to make sure your fire safety arrangements are adequate stays with you. Our reports and recommendations are there to support that duty, not replace it.
5. Your obligations
You agree to:
- give us safe, clear access to the Site at the agreed times;
- give us accurate information about the building, how it's used, any hazards (such as asbestos, working at height or live services) and any existing system paperwork;
- make sure power, water and lighting are available where reasonably needed;
- keep the Site secure when we're not there — we aren't responsible for theft of, or damage to, materials left on Site outside working hours where that's outside our reasonable control;
- not move, modify, disable or test equipment we've installed, other than as described in our user instructions, without our written agreement.
6. Maintenance contracts
Planned maintenance contracts run for an initial 12 months from the start date and then renew automatically for further 12-month periods, unless either of us gives at least 60 days' written notice before the end of the current period. We'll remind you before each renewal. Visits are scheduled every six months unless the contract says otherwise. We're happy to reschedule within reason, but repeated missed access may lead to a re-attendance charge at our published rates.
7. Callouts and emergency attendance
Our 24-hour emergency line (07835 903 856) is available to all customers, whether or not you have a maintenance contract with us. Before we send an engineer, we'll tell you the call-out charge (including any out-of-hours rate) and the expected arrival window. Any parts or further work needed will be quoted before we carry them out, except work that's genuinely urgent to make the system safe (see clause 9).
8. Prices and payment
- Unless we say otherwise, prices for business customers exclude VAT, which is added at the current rate. Prices we give to consumers include VAT.
- Unless agreed otherwise in writing, invoices are payable within 30 days of the invoice date.
- We may ask for a deposit of up to 40% on larger installation projects before ordering materials.
- For business customers, late payments carry interest and debt recovery costs under the Late Payment of Commercial Debts (Interest) Act 1998 (currently 8% above the Bank of England base rate).
- Ownership of the Goods passes to you when you've paid in full; risk in the Goods passes to you on delivery to Site.
- We may suspend Services (including maintenance cover) if an invoice is more than 30 days overdue, after giving you written notice.
9. Variations and additional work
If we find work that's reasonably needed but wasn't in the Quote, we'll tell you — in writing where practical — before doing it. Genuinely urgent work needed to make a system safe may be carried out at our published callout rate and invoiced separately; we'll always try to speak to you first.
10. Warranties
We guarantee our workmanship for 12 months from completion of the relevant work. Goods carry the manufacturer's warranty (typically 24 months from supply), and we'll pass the benefit of that warranty on to you. Warranties don't cover faults caused by misuse, unauthorised modification, accidental damage, vandalism, fire, flood, power surges, pests or other things outside our reasonable control. This doesn't affect your statutory rights.
11. Consumer rights
If you're a consumer (buying for yourself, not for a business) and the Contract is made away from our premises or at a distance, you have the right to cancel within 14 days of the Contract being formed, without giving a reason. To cancel, email info@coastal-fire-systems.co.uk or write to our registered office (see clause 1). If you ask us to start work within the 14 days and then cancel, you'll need to pay for the work done up to that point.
The right to cancel doesn't apply where you've specifically asked us to visit to carry out urgent repairs or maintenance (for example, an emergency callout). Nothing in these Terms affects your statutory rights under the Consumer Rights Act 2015.
12. Liability
Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, for breach of terms implied by the Consumer Rights Act 2015 or the Supply of Goods and Services Act 1982 that can't lawfully be excluded, or for anything else that can't be excluded by law.
Subject to that:
- For business customers, we're not liable for indirect or consequential loss, loss of profit, business interruption, loss of data or loss of opportunity.
- Our total liability under or in connection with any Contract is limited to the greater of (a) the total fees you paid under that Contract in the 12 months before the event giving rise to the claim, or (b) £1,000,000, being the limit of our public liability insurance.
- No fire alarm or detection system can guarantee to detect every fire or prevent loss of life or property. The system is one part of your fire safety arrangements, and the legal duty under the Regulatory Reform (Fire Safety) Order 2005 rests with the Responsible Person.
13. Insurance
We hold public liability insurance of £1 million, employers' liability insurance to at least the legal minimum, and professional indemnity insurance appropriate to our services. Certificates are available on request.
14. Health & safety
We comply with the Construction (Design and Management) Regulations 2015 where they apply and will provide method statements and risk assessments on request. Please share any relevant Site information (asbestos register, service drawings, permit-to-work requirements) before we attend.
15. Who carries out the work
The Services are carried out by our own engineers. We rarely use subcontractors; if a specialist is needed for part of a job, we'll tell you in advance, and we remain responsible to you for their work.
Where we work as a subcontractor for another contractor, the terms agreed with that contractor apply to that project.
16. Events outside our control
Neither of us is liable for delay or failure caused by events outside our reasonable control — including severe weather, fire, flood, war, civil unrest, epidemics, government action, failure of utilities or telecoms, or failure of suppliers. We'll keep you informed and do what we reasonably can to limit the impact.
17. Ending a contract
Either of us may end a Contract immediately by written notice if the other (a) materially breaches these Terms and doesn't put it right within 14 days of written notice, or (b) becomes insolvent, enters administration, has a receiver appointed or stops trading. On termination you must pay for all Services carried out and Goods supplied up to that date.
18. Data protection
We handle personal data in line with our Privacy Notice.
19. Using this website

20. Complaints
If something's gone wrong, please tell us as soon as you can — email info@coastal-fire-systems.co.uk or call 01903 771 949. We'll acknowledge your complaint within 5 working days and aim to resolve it within 30 days. If you're a consumer and still not satisfied, you can refer the matter to an approved Alternative Dispute Resolution provider; we're not obliged to use ADR but will consider it in good faith.
21. General
- Entire agreement: these Terms, the Quote and any written variations form the whole agreement between us.
- Severability: if any part of these Terms is found unenforceable, the rest still applies.
- Assignment: you may not transfer the Contract to someone else without our written consent.
- Third-party rights: nobody who isn't a party to the Contract can enforce it under the Contracts (Rights of Third Parties) Act 1999.
